MeterEase Privacy Policy

This Privacy Policy explains how the company operating MeterEase (“MeterEase,” “we,” “us,” or “our”) collects, uses, and shares information in connection with https://meterease.com and the MeterEase application (the “Service”). MeterEase is landlord bill-allocation software, not a utility metering, AMI, or utility meter-data platform. Entity legal name will be updated when formation is complete. By using the Service, you acknowledge this Policy. Our Terms of Service govern use of the Service.


1. Who this covers

  • Landlords / account holders and their invited users.
  • Website visitors.
  • Tenants and other recipients whose information a landlord enters so we can generate invoices and send emails on the landlord’s behalf.

We primarily act as a service provider / processor for tenant personal information supplied by landlords for billing and delivery. For landlord account and website data, we act as a business that decides how that data is used to run MeterEase. Role labels under state privacy laws may vary; contact us with questions.

2. Information we collect

A. Account and billing (landlords)

Examples: name, email, phone, password or auth tokens, property and unit details, allocation settings, plan tier, billing address, and payment method tokens handled by our payment processor (we do not store full card numbers). Support messages and in-app notes you create.

B. Tenant and billing content (provided by landlords)

Examples: tenant name, email, unit identifier, allocation inputs (sq ft, bedrooms, occupancy, percentages, readings), invoice amounts and history, delivery status (sent/bounced), dispute or audit notes you store, and uploaded utility or CAM bills (PDFs/images and extracted fields such as account numbers, usage, and charges).

We do not independently verify tenant identity. Accuracy is the landlord’s responsibility.

C. Technical and usage data

IP address, device/browser type, approximate location derived from IP, log files, cookies or similar technologies needed to run the Service, and product analytics if we enable them. Marketing pages may also use analytics or similar cookies as described in Section 4.

D. Communications

Emails you send to [email protected] and transactional mail metadata (delivery events) from our email provider.

3. How we use information

  • Provide allocation, invoicing, email delivery (including source-bill attachments you authorize), audit/history, and account features;
  • Authenticate users and secure the Service;
  • Bill subscriptions, run trials, and prevent fraud;
  • Respond to support and service notices;
  • Receive a marketing-page inquiry, including a lead form, and follow up about that inquiry, as described in Section 4;
  • Improve the product (including aggregated or de-identified analysis where practical);
  • Comply with law and enforce our Terms.

We do not sell personal information for money as a business model, and we do not use tenant contact information you upload for our own marketing to those tenants.

4. How we share information

We share information with:

  • Service providers who help us operate (cloud hosting, email delivery such as Resend, payment processing such as Stripe, error/monitoring tools, professional advisors under confidentiality);
  • A CRM and marketing-automation provider for MeterEase marketing pages only, as described below;
  • Recipients you choose (for example tenants who receive invoices and attached bills);
  • Authorities when required by law or to protect rights, safety, or security;
  • A successor in a merger, acquisition, or asset sale (with notice where required).

Marketing pages and CRM

If visitors use MeterEase marketing pages, including a lead form, we may use a CRM and marketing-automation provider — a HighLevel white-label service via SalesOnDemand (GoHighLevel) — to receive that submission, to use analytics or similar cookies on those pages, and to follow up about the inquiry. That use covers the marketing interaction. Landlord-owned product data stays in MeterEase. This is not a statement that the provider stores lease documents, utility bills, tenant records, or invoice PDFs. We do not sell personal information, and we do not claim certification under the GDPR or any other privacy law.

We do not sell landlord or tenant personal information. If that ever changes, we will update this Policy and provide required opt-outs.

5. Email to tenants

When you send an invoice, we transmit the content and attachments you approve to the addresses you provide, through our email provider. Those messages are your communications; MeterEase is the technical sender infrastructure. Preview and send-gate features exist so you can confirm content before send.

6. Cookies and similar technologies

We use cookies and local storage as needed for login, security, and preferences. On MeterEase marketing pages, the CRM provider described in Section 4 may use analytics or similar cookies. If we add other advertising cookies, we will update this Policy and provide choices where required.

7. Retention

We retain account and billing records for the life of the account and a commercially reasonable period afterward (generally up to seven (7) years for financial/audit records unless a shorter or longer period is required). Invoice artifacts, source bills, and tenant data are retained while your account is active and for a period after deletion or cancelation sufficient for backups, disputes, and legal obligations, then deleted or anonymized. You may request earlier deletion subject to legal holds and backup cycles.

8. Security

We use reasonable administrative, technical, and organizational measures (including encryption in transit and access controls). No method of transmission or storage is 100% secure.

9. Your choices and rights

  • Account: update profile and property/tenant data in the app; cancel via billing portal where available.
  • Marketing: product/account mail is transactional; if we send optional marketing, you can unsubscribe.
  • Access / correction / deletion: email [email protected]. We may need to verify identity. Landlords who need tenant data corrected should update it in the app when possible.
  • Tenant requests: if a tenant contacts us about data a landlord uploaded, we may direct the request to the landlord and/or process it as a service provider consistent with law and our contract with the landlord.

California (CCPA/CPRA) note

MeterEase may or may not meet the statutory definition of a “business” depending on revenue and volume thresholds (which adjust over time). We still publish this Policy. If and when CCPA/CPRA applies to us as a business, California residents may have rights to know, delete, correct, and opt out of sale/sharing, and not to be discriminated against for exercising rights. We do not sell personal information. Submit requests to [email protected]. Landlords who are themselves “businesses” remain responsible for their own compliance; we can discuss service-provider terms on request.

Other states

Depending on your location, additional privacy laws may apply. Contact us to exercise available rights. Nevada “do not sell” requests (where applicable) may be sent to the same email.

10. Children

The Service is for business use by adults and is not directed to children under 13 (or under 16 where relevant). We do not knowingly collect personal information from children.

11. International

The Service is operated from the United States. If you access it from elsewhere, you understand information may be processed in the U.S.

12. Changes

We may update this Policy by posting a new version with a revised “Last updated” date. Material changes may also be noticed in-app or by email. Continued use after the effective date means you accept the updated Policy where permitted by law.
